GENERAL FUNCTION

Plan and manage North America EyeCare events from concept through execution. These include (though not limited to) Roadshows, Trade Shows, Industry Events, Market Weeks and Conferences. Work with the EyeCare leadership to oversee all aspects of these events, including mapping processes and stakeholders, developing and aligning strategic plan & calendar, budget preparation, negotiation, expense control, marketing assets, promotion, execution, delivery and follow up. 

 

MAJOR DUTIES AND RESPONSIBILITIES

  • Serve as Project Lead for all events
  • Serve as senior contact for all internal and external event stakeholders
  • Manage all phases of planning and executing Live, Virtual, and Hybrid programs
  • Negotiate contracts and manage relationships with outside vendors, and preparing ROI evaluations of events and conferences
  • Manage an events agency for larger meetings and events as needed
  • Manage external contracts and communication with vendors and partners
  • Assist in directing communication plans for internal and external audiences, including arming sales teams with tailored templates, emails and copy to leverage and maximize engagement
  • For in person events, manage budgets, food and beverage orders, audio visual orders, rooming lists, signage/displays orders, transportation requests, contract speakers, procure promotional products, etc.
  • Maintain registrations sites, communications, client meetings, mobile apps, and feedback surveys
  • Provide onsite support, both independently and as a team, when needed
  • Conduct pre event briefs, post event reports, including but not limited to attendee surveys, analytics, and lessons learned
  • Create and traffic project PORs through submission and approval
  • Create and develop event agency RFPs in concert with Shared Services and oversee RFP process
  • Project lead for all events
  • Serve as the Liaison to Women’s President’s Organization for industry event planning 

 

BASIC QUALIFICATIONS

  • Bachelor’s degree or equivalent experience
  • Minimum 8+ years of Event Planning, Sales, Marketing, or directly related experience
  • Strategic thinker and creative problem-solver, able to glean insights, develop a vision and bring it to life with actionable plans
  • Must thrive in an environment of rapid change, moving targets, limited resources, high intensity and cross-functional dependencies
  • Fantastic ability to prioritize tasks when faced with multiple deadlines and operate under tight deadlines
  • Ability to work independently and autonomously, while maintaining a team-oriented attitude
  • Excellent communication skills
  • Exceptional organizational skills and attention to detail
  • Experience working events in a technology company
  • Excellent project management skills
  • Independent, self-starter who can prioritize and drive deliverables to execution with minimal supervision
  • Team player and collaborator
  • Ability to travel as needed

 

PREFERRED QUALIFICATIONS

  • Bachelor’s degree in marketing, communications, or related field
  • Experience working in the Optical, Medical, or Tech. industries
