The Samples Coordinator oversees sample management and organization primarily in the NY, Miami or LA showroom. This includes, but is not limited to, maintenance and tracking of all samples shipped to/from the NY, Miami or LA showroom. Participates in supporting corporate meetings where samples are presented to wholesale buyers. Delivers samples to appropriate customer studios in necessary time frame for catalog photography. Aids in the operational aspect of coordinating with the Showroom Operations Manager, from tracking and reporting to generating a weekly checklist, to assist with troubleshooting within samples processes as well as general samples warehouse maintenance.



  • Oversees and maintains the organization, labeling, tracking, and inventory of all received samples
  • Coordinates showroom appointments, and forwards regular updates as adjusted, reflecting showroom visits.
  • Maintains traveling samples calendar for coordinating sample shipments to/ from meetings, tradeshows, trunk shows, buying days, etc. in alignment with partner showroom coordinators.
  • Reviews new collection linesheets with brand team to execute showroom merchandising in proper visual order
  • Removes and returns recalled samples to US distribution center.
  • Sanitizes and restores sample sets to customer ready condition for traveling sets as well as in house samples
  • Completes quarterly inventory of samples (including active and discontinued skus).
  • Requests missing sku replacement.
  • Orders necessary replacement sample trays from designated vendor.
  • Communicates with Showroom Operations Manager regarding samples arrival from Italy to facilitate market week calendar adjustments.
  • Provides administrative showroom support during buying days (market weeks) in local showroom under Showroom Operations Manager coordination, including printing documents, following up on customer transportation, catering, floral arrangements, and general office maintenance
  • Assist Account Managers, Product Team and Brand Managers with sales and marketing support projects and events



  • Associates Degree
  • Experience working in the fashion industry
  • Strong PC skills, including Excel, Word and PowerPoint
  • Organized, analytical, and focused
  • Ability to multitask in a fast paced environment
  • Communicate effectively
  • Work independently
  • Manage time effectively & prioritize assignments to meet deadlines



  • Bachelor’s Degree
  • Experience working in retail
