This position will provide administrative support to the Legal VP and General Counsel NA.  There will be additional support to be provided to members of the legal team. The Administrative Assistant is a team player that demonstrates consistent high-level performance and maintains the utmost professional demeanor and highest level of confidentiality and trust.



  • Assist with budgeting, invoice processing and preparing reports on spending
    • review, process and input invoices from vendors not set up in E-billing;
    • review, research and rectify invoice issues from 3rd party vendors;
    • assist in the preparation of the quarterly accruals (i.e. - emailing external counsel, updating excel chart, etc.).
    • assist in the preparation of yearly legal budget
    • liaise between legal department(s) and accounting for various invoice/budgeting issues.
    • New vendor set-up
  • Provide administrative support to attorneys including answering telephone, travel, file management, word processing, scheduling, maintaining calendars, preparation of expense reports
  • Assist in process of finalizing agreements, obtaining necessary signatures of executive management, and routing agreements to other party as well as to other Luxottica divisions Organizes and coordinates complex meetings and events as required.
  • Organizes and prioritizes daily administrative responsibilities, organizes multiple projects with the department executive leadership team; and ensures important matters receive top priority.
  • Proactively manages department commitments and timelines such as project status updates and ensures supervisors are aware of critical dates and deadlines.
  • Accurately communicates relevant and potentially sensitive information to and from others, maintaining a high level of confidentiality and exercises good judgment.
  • Drafts correspondence as necessary and produces error-free and grammatically correct documents.
  • Anticipates and follows up on requests and issues with a proactive, problem-solving approach.
  • Represents the business professionally and operates in a manner consistent with the Luxottica culture



  • High school diploma
  • 5 years administrative experience
  • 1 year executive administrative experience
  • Experience with budgeting
  • Advanced proficiency with Microsoft Office applications, Word, Excel, PowerPoint, Outlook and Visio. Strong emphasis on Excel and PowerPoint.
  • Strong organizational and prioritization skills, and ability to balance multiple tasks.
  • Strong project management skills.
  • Demonstrates a strong sense of urgency and is proactive
  • Ability to work independently and exercise sound judgment



  • College degree
  • Demonstrates strong communication skills in answering the phone, screening information and accurately distributing and forwarding messages.
  • Advanced grammar and English skills, Italian helpful
  • Professionally interfaces and communicates among executives and other internal and external high-level individuals, including high level of contact with Italy-based associates and executives, assisting with travel and meeting needs when visiting CSC.
  • Creates an environment that fosters teamwork and trust.
  • Proactively communicates potential issues and reminders to executives and coworkers as appropriate.
