GENERAL FUNCTION

The Office Operations Manager is responsible for managing all the operations, maintenance and logistics for in the 250+ person office in Port Washington and US Showrooms. Organizes, coordinates and implements office process and procedures in order to ensure organizational effectiveness and efficiency. Energetic experience professional who can wear multiple hats. Well organized, flexible and enjoys the administrative challenges of supporting an office of diverse employees plus ensuring the entire facility is well maintained.


MAJOR DUTIES AND RESPONSIBILITIES

  • Budget Management & Procurement Partnership
    • Manage opex and capex budgets for entire facility
    • Reviews, signs off and codes all invoices in line with Corporate cost center structure.
    • Reviews month end actuals and provides forecast to Finance Partner
    • Manage facility vendor relationships with support from Procurement
  • Space Management
    • Leads the management, planning and coordination of appropriate space change initiatives and projects
    • Assists in development of dissemination of space standards and space management guidelines, policies and procedures
  • MEP, Maintenance & Janitorial
    • Preventative Maintenance including MEP
    • Janitorial Services
  • Office Admin
    • General
      • Primary liaison with building management company on all building matters, procedures and protocols
      • Oversees contracts and relationships with third party maintenance contractors and coordinates service calls as necessary (ie plumbing, electric, HVAC, printers, gardening, etc).
    • Supplies
      • Business office supplies
      • Kitchen supplies
      • Meeting request supplies
    • Mail Service & Multi-functional Device Support
      • Manage relationship and service with all postage/freight providers (Fedex/UPS/etc)
      • Manage mail / package delivery
      • Ensures all MFDs are operational and paper restocked daily
    • Food Service
      • Supports food service provider with Meal Card Program when needed
      • Supports Catering (ensure aligns w/ July 2018 T&E Process)
  • Shuttle Transportation & Fleet Services
      • Manage relationship and program of WHS fleet program (NYC and Miami)
      • Partners with Risk Mgt to ensure each vehicle is covered by insurance
      • Coordinates shuttle transportation to and from office as necessary
  • Showrooms (Los Angeles, Miami & Toronto)
    • General facility maintenance and office admin duties(MEP, janitorial, etc)
    • Supports showroom team with additional outsourced resources when requested
  • Lead, develop and manage (3) direct reports
  • Dotted line responsibility of front desk/reception in partnership with Asset Protection

 

BASIC QUALIFICATIONS

  • Bachelor’s degree business preferred
  • Generally requires 5+ years’ experience in facility management; experience in the fashion industry a plus
  • Equivalent combination of education and related experience
  • Strong organizational, time management skills and communication skills
  • Ability to handle multiple tasks, projects with competing priorities and tight deadlines (prioritizing tasks based on importance and urgency)
  • Strong adaptability, flexibility and resourcefulness while maintaining a professional attitude
  • Acute attention to detail
  • Team player
  • Proficient in Microsoft Office (Excel, Word and PowerPoint)
